The Project Coordination department is responsible for assisting the Project Manager and project execution team on internal and external daily project business topics. The Project Coordinator sets up and maintains a correspondence system for the execution project, supports in administrative and project-related IT programs, guides in process excellence performance on the project. The Project Coordinator establishes and drives Lessons Learned culture in the execution project.

As a Project Coordinator you will be supporting the project manager and the project teams in our offshore execution projects with a variety of tasks related to daily business topics e.g. prepare reports and briefings for internal and external stakeholders as well as schedule, prepare and accompany appointments and meetings and complete minutes of meetings and follow up on project task lists.

Furthermore, you have the responsibility for the correspondence management in the project. This includes supporting the project manager in maintaining a project communication plan, a communication matrix, describe the communication flow internally and externally and to set up a project mailbox or correspondence system. You will act as site Administrator for the project Share point site.

You will establish and drive Lessons Learned culture in the execution project (e.g. facilitate Lessons Learned workshops, handle documentation of learnings during the project execution).

Overall, you will provide support to the entire project team - both on IT administration tasks, onboarding new project team members, creating and maintaining internal and external project organizational charts and manage the access to all project-related contracts.

A person who is service minded, flexible and brings energy to the team. You are the natural ‘center of support’ for the entire project team and you enjoy a working day with many different tasks. You like to work with IT tools and standardized processes. You have an eye for details and your work approach is very structured. You deliver your tasks punctually.

Furthermore, it is an advantage if you are/have: 

  • Experienced user of Office 365 and Sharepoint
  • Educational background within administration, linguistics/translation, IT or commercial
  • Experience working in a large multinational company is an advantage
  • Skilled communicator with excellent command of English both orally and in writing
  • Some travel must be expected

It is a big advantage if you thrive in a multi-cultural environment and are familiar with working in large organizations.
